Why back up Microsoft 365?
Microsoft keeps the Microsoft 365 service running, but protecting your content is your responsibility. Microsoft's own Services Agreement recommends that customers regularly back up their content and data.
Without an independent backup, you're exposed to:
- Accidental deletion – items removed beyond Microsoft's recycle bin and retention windows
- Ransomware and malicious changes – encrypted or deleted files that sync across your tenant
- Retention gaps – built-in retention settings that don't match your legal or company policies
- Leavers – mailboxes and OneDrive files lost when a user licence is removed

Frequently asked questions
Doesn't Microsoft already back up my Microsoft 365 data?
Microsoft keeps the service available and offers limited recycle bin and retention features, but protecting your content is your responsibility. Microsoft's Services Agreement recommends that customers regularly back up their content and data.
How is this different from Microsoft 365 Backup?
Microsoft's own backup product keeps backups inside Microsoft's environment. Keepit stores your backups in a separate, independent cloud, so a copy remains available even if something goes wrong inside your Microsoft tenant. It also covers Teams, Groups and Entra ID, with unlimited storage.
Where is my data stored?
In the region you choose – the UK (Slough) or Europe (Germany, Switzerland or Denmark) – with four copies across at least two physical locations in that region.
How often are backups taken?
Automatically, twice a day.
How do I restore data?
Search for what you need, then restore it in place, share it, or download it as a PST file.
Is Office 365 the same as Microsoft 365?
Yes. Microsoft renamed most Office 365 business plans to Microsoft 365 in 2020. The backup covers both.
